Restaurant Reservation System 2026: Off-the-Shelf or Custom? Costs & Checklist
What a restaurant, café, beach club or hotel restaurant really needs from a reservation system, and how off-the-shelf and custom options compare. Includes a cost table and checklist.
Restaurants & cafés
2026
It is Saturday night, the phone keeps ringing, the booking diary is full of crossed-out names, two parties are booked onto the same table at the same time, and a group of four never turned up. If that sounds familiar, a restaurant reservation system is no longer a luxury; it is a basic part of service quality. The right system manages tables hour by hour, reminds guests, cuts the risk of no-shows and keeps a record of who comes and how often.
The real question is this: should you use an off-the-shelf booking platform with a monthly subscription, make do with the reservation add-on of your POS software, or commission a commission-free solution embedded in your own website? In this article we cover the must-have features for restaurants, cafés, beach clubs and hotel à la carte restaurants, the pros and cons of all three routes, integrations and data protection, and indicative costs for 2026.
At the end you will also find a selection checklist you can keep in front of you during demo calls.
What is a restaurant reservation system and who needs one?
A restaurant reservation system is software that lets guests see available times and tables and book through your website, Google, Instagram or WhatsApp, while you manage every booking from a single screen. Phone bookings are entered on the same screen too, so information that used to be split between a paper diary, a spreadsheet and your inbox ends up in one place.
Who benefits most?
- Restaurants with a busy evening service: Table turnover and avoiding double bookings feed straight into revenue.
- Cafés running weekend brunch or events: A café booking system protects capacity at set times and leaves the remaining tables for walk-ins.
- Beach clubs and terrace venues: You need to manage different area types such as sun loungers, cabanas and bistro tables, plus minimum spend rules.
- Hotel à la carte restaurants: In all-inclusive resorts, guests often have a limited number of à la carte dinners, which must be matched to room numbers and checked against the length of stay.
In principle it works like an online booking system, but restaurant-specific details such as table capacity, combinable tables and dining duration change the picture considerably.
Must-have features in a restaurant reservation system
Floor and table plan
Your floor plan should be in the system visually: main dining room, terrace, garden, bar seating. You should be able to define each table's capacity, whether it can be combined (two tables for two becoming a table for four, for example) and any special attributes (window seat, smoking area, suitable for a high chair). During service, staff should see on screen which tables are occupied and which have a booking in 20 minutes.
Time-slot capacity and dining duration
You need to cap covers per time slot, not just per table. For example, if your kitchen can comfortably handle at most 30 covers between 20:00 and 20:30, the system should refuse bookings beyond 30 in that slot. If you can set an average dining time per table (say 90 minutes for two, 2.5 hours for six), the same table can be sold twice in one evening.
SMS and WhatsApp reminders
A booking confirmation, a reminder the day before and a one-click cancellation link are the simplest way to reduce no-shows. WhatsApp requires an official integration; we explain the details in our WhatsApp Business API guide. Reminder messages are transactional. If you want to send promotions through the same channel, marketing consent rules apply, and in Türkiye senders must also register with İYS, the national commercial messaging consent system. Rules differ by country, so check the current regulations where you operate.
Deposits to prevent no-shows
A no-show deposit system lets you take a small prepayment or card pre-authorisation per person at the time of booking. If the guest turns up, it is deducted from the bill; if they cancel after your cut-off or do not show, you keep the deposit. It is especially useful for special evenings, New Year's Eve, Valentine's Day and large group bookings. It matters that you can switch it on only for chosen dates, times and group sizes rather than every day.
Guest history and CRM
If a guest is visiting for the fifth time, you want to know. Allergy notes, birthdays, favourite table, past cancellations and spending history should all appear on one profile. That data is extremely valuable later for loyalty campaigns, special occasion messages and tracking corporate groups.
Three routes: subscription platform, POS add-on or custom software
1. Off-the-shelf subscription booking platforms
These are cloud-based systems you pay for monthly or annually. They are quick to set up, come with a ready-made mobile app and their core features are generally good. Some also send you guests through their own consumer app, in which case there may be a commission per booking or per cover. The downside is that guest data lives inside the platform's ecosystem and customisation is limited.
2. The reservation add-on of your POS software
If the POS you already use has a reservation module, it is a practical option because table status and bills sit in the same system. However, these modules are often a secondary priority for the vendor: the online booking page can be basic, and deposits or WhatsApp reminders may be missing.
3. Commission-free custom software embedded in your website
The booking flow runs on your own domain with your own design. Guest data sits in your database, you pay no commission per booking and you can connect it to your POS, CRM, accounting or hotel management system however you like. In return, the upfront cost and development time are higher. If you are weighing off-the-shelf against custom software in general, also read our piece on source code ownership; it is the point most often overlooked with custom software.
Restaurant reservation software compared: cost, data and integration
| Criterion | Subscription platform | POS add-on | Custom software |
|---|---|---|---|
| Upfront cost | Low | Low or none | High |
| Ongoing cost | Monthly subscription, sometimes commission | Module fee | Maintenance and hosting |
| Setup time | Days | Days | Weeks |
| Who holds guest data? | The platform; export may be limited | The POS provider | Entirely you |
| Brand and design | Platform template | Basic | Fully tailored |
| Deposits and payment gateway | Depends on plan | Usually weak | Through your own gateway |
| Integration with other systems | As far as the provider allows | Within the same ecosystem | As required |
The most important question to ask: if you want to switch providers in three years, can you take your full guest list, with its history, with you?
Integrations: Google Business Profile, payments and data protection
Google Business Profile booking link
Many guests find you on Google Maps. In your Google Business Profile dashboard you can add the address of your own online table reservation page in the booking link field. Some providers integrate directly with Google so the booking is completed inside Maps; availability varies by country, so ask during the demo whether this works where you operate (in Türkiye, only some providers support it).
Payment gateway and deposit collection
If you plan to take deposits, you need a payment infrastructure. Off-the-shelf platforms usually use their own payment partners; with custom software, your bank's or payment provider's gateway is connected. If you sell in Türkiye, we compare commission rates and pre-authorisation and refund processes in our article on payment gateway fees in Türkiye.
Data protection (KVKK, GDPR)
A booking form collects name, phone number, email and sometimes allergy information. Allergy and health information may count as special category personal data, so it needs extra care. Your privacy notice, the cases that require explicit consent, where data is stored (including whether servers are abroad) and the retention period all need to be clear. Rules differ by country: in Türkiye the KVKK applies, in the EU and UK the GDPR. For Türkiye, rely on the Personal Data Protection Authority resources, and wherever you are, have a specialist check your setup.
Restaurant reservation system pricing 2026: indicative table
The ranges below are broad indicators drawn from quotes commonly seen in the Turkish market. Exchange rates, plan scope, number of sites and SMS volume change prices significantly; these are not fixed prices, so always get a current quote.
| Item | Indicative range (2026, Turkish market) | Note |
|---|---|---|
| Subscription platform, single site | From a few hundred TL to a few thousand TL per month | Higher plans unlock deposits, CRM and multiple users |
| Platform commission | Varies per booking or per cover | May apply only to guests the platform brings in; read the contract |
| POS reservation module | Low monthly fee on top of your licence, or included | An online booking page may cost extra |
| Custom software, core scope | One-off, starting from tens of thousands of TL | Floor plan, capacity, reminders, admin panel |
| Custom software, advanced scope | One-off, can reach hundreds of thousands of TL | Deposits, CRM, multi-site, POS and PMS integration |
| SMS / WhatsApp message costs | Per message, varies with volume | Must be calculated separately in every model |
| Maintenance, hosting, updates | Fixed monthly or annual fee | Put it in writing in custom software contracts |
When comparing, add up three years rather than the first year: subscription fees, commissions, messaging costs and lost data control on one side; upfront investment and maintenance fees on the other. For businesses with high booking volumes and more than one site, the balance often tips towards custom software.
Special cases: hotel à la carte restaurants and beach clubs
In hotel restaurants, bookings cannot be separated from stay data. The guest's room number, stay dates and board type (all-inclusive, half board) must be matched to their à la carte allowance, and the system should automatically reject bookings that exceed it. That is why integration with the property management system (PMS), or at least room number verification, matters. The most common problem we see in our hotel and tourism projects is the à la carte list being kept on paper at reception, with guests queuing in the morning to book.
Beach clubs have many area types: sun loungers, cabanas, VIP areas, restaurant tables. Each can have its own price, minimum spend and deposit rule. A capacity model that splits the day in two (beach by day, dining by night) is also poorly supported by most off-the-shelf systems. If you host many international guests, a multilingual booking page is essential.
Restaurant reservation system checklist
Ask these questions one by one during demo calls and get the answers in writing:
- Can we draw the floor plan to match our own table layout, and is combining tables supported?
- Can we set cover limits per time slot and dining duration per table?
- Are SMS and WhatsApp reminders available, and are message costs included in the plan?
- Can deposits be switched on selectively for specific dates, times and group sizes, and through which payment provider?
- Are guest history, notes and tags stored, and can all data be exported in full as Excel/CSV?
- Is there a commission per booking, and when does it apply?
- Can the booking page run on our own domain with our own design?
- How does it connect to Google Business Profile, Instagram and our website?
- Is integration with our POS, CRM or hotel PMS possible, and what does it cost?
- In which country is data stored, and are a privacy notice and data processing agreement ready?
- With custom software, who owns the source code and database, and what does the maintenance fee cover?
- How do multilingual pages and mobile use work, and can staff use it on a tablet or phone?
If anything is missing from the first four items, the system does not solve your day-to-day operations. If something is missing from the last four, the problem will not show today but in two years, when you grow. Starting with an off-the-shelf platform to clarify your needs, then moving to a system you own, is also a sensible path. If you would like to explore a commission-free booking solution embedded in your own website, at Fietto Creative our custom business software projects start with a needs analysis.
Frequently asked questions
Is there a free table reservation system for restaurants?
Some providers offer free plans with limited features, but they usually cap the number of monthly bookings, SMS messages or branding options. Features such as reminders and deposits are mostly found in paid plans.
How do I add a reservation button to Google Maps?
In your Google Business Profile dashboard, add the address of your own booking page in the reservation link field. If you use a provider that integrates directly with Google, the button may appear automatically; ask your provider to confirm this for your country.
Is it legal to take a deposit for a table booking?
Taking a deposit is a common practice, provided you state the terms clearly in advance and have the guest accept the cancellation and refund rules. Consumer protection rules differ by country, so confirm your setup with a lawyer or official sources. If you operate in Türkiye, check the current Ministry of Trade guidance.
Does a café need a reservation system?
A café with steady footfall that rarely takes bookings can manage with a simple form or WhatsApp. Cafés with busy slots such as evening service, events or weekend brunch will see far less confusion with a system that manages capacity.
