Online Booking System 2026: Off-the-Shelf or Custom? Prices and How to Choose
From clinics and salons to car service centres and hotel spas: how to choose an online booking system, how SaaS differs from custom software, and where the costs really come from.
Choosing Booking Software
2026
Taking bookings by phone, hunting for free slots in a paper diary, waiting for clients who never turn up: every business owner who has lived through this eventually considers an online booking system. The challenge is not setting one up but choosing the right one. Options range from ready-made packages costing a few hundred lira a month (if you sell in Türkiye) to software built specifically for your business, and the wrong choice can mean rebuilding everything from scratch a few months later.
In this article we explain what a booking system does, what it changes in different sectors and how it reduces losses from no-shows. Then we put off-the-shelf SaaS packages and custom software side by side on price, flexibility and data ownership. By the end you will have a checklist you can use when talking to vendors.
What is an online booking system and how does it work?
An online booking system is software that lets your customers see available times on your website, on Google or via a link, and book their own appointment. Behind the scenes, you and your team manage the calendar, staff working hours, service durations and customer history from a single screen.
A typical flow looks like this:
- The customer chooses a service (for example, a 60-minute facial).
- They can choose a staff member if they wish, and the system shows only that person's free slots.
- They confirm the booking by entering their name, phone number and an optional note; some systems also take a deposit at this stage.
- They receive an instant confirmation and a reminder before the appointment.
- You see the booking in your dashboard and can reschedule or cancel it if needed.
Good appointment management software also covers what happens after this flow: which services a customer has had before, how often they visit and which staff member they prefer gradually build into a valuable customer record.
What does it bring to different businesses?
Almost every appointment-based business benefits, but what you gain depends on your sector:
- Clinics and health centres: Calendars per practitioner, standardised consultation times and fewer phone calls for reception staff.
- Beauty salons and hairdressers: Planning by staff member and treatment room, tracking of session packages, and booking requests that arrive outside opening hours.
- Car service and repair workshops: Bookings based on lift or mechanic capacity, with vehicle and registration details collected in advance.
- Consultants, lawyers and therapists: Automatic sharing of video call links, and prepayment to filter out non-serious requests.
- Sports facilities and studios: Managing court, pitch or group class capacity, and bookings linked to membership packages.
- Hotel spas and wellness areas: Managing in-house guests and outside visitors in one calendar, and planning massage and hammam capacity.
The shared benefit is simple: you take bookings even when you are closed. A customer you would have lost because nobody answered the phone in the evening does not ring your competitor the next morning.
Reducing losses from no-shows
A customer who does not show up is a direct loss of revenue, because you cannot sell that slot to anyone else. An online system will not eliminate the problem, but it gives you three practical tools to keep it firmly under control.
SMS and WhatsApp reminders
The most effective and cheapest method is sending automatic reminders before the appointment. In practice, two messages work well: one the day before and one a few hours before. The message should include the date, time, address and a one-click link to cancel or reschedule. Making cancellation easy may seem counterintuitive, but a slot freed by a customer who cancels in advance can be given to someone else. A slot lost to a silent no-show cannot.
WhatsApp can be a channel customers read more readily, but automated sending requires the official infrastructure. We cover this in detail in our WhatsApp Business API guide.
Prepayments and deposits
For long or high-value services (laser sessions, in-depth consultations, private lessons), taking a deposit at the time of booking is one of the measures with the biggest impact on no-shows. Keep these points in mind:
- State your cancellation and refund terms clearly on the booking screen.
- Make it clear that the deposit will be deducted from the service price, so customers do not think they are paying extra.
- Factor in the commission charged by your payment provider. Our article on payment gateway fees in Türkiye gives a sense of the costs involved.
Blacklists and tracking repeat behaviour
For customers who have missed appointments without notice more than once, a practical solution is for the system to flag them or require a mandatory deposit on their next booking. Some off-the-shelf packages include this feature; if yours does not, it is easy to build into custom software.
Off-the-shelf SaaS or custom booking software?
Off-the-shelf (SaaS) systems run on a monthly or annual subscription, set up quickly, and the provider handles updates. Custom software is developed from scratch or from modules around the way your business works, and it belongs to you. Here is how they compare on the key points:
| Criterion | Off-the-shelf SaaS package | Custom software |
|---|---|---|
| Upfront cost | Low, usually little or no setup fee | High, one-off development fee |
| Ongoing cost | Monthly subscription that rises as staff or branches grow | Hosting, maintenance and support fees |
| Setup time | Days | Weeks or months |
| Flexibility | Limited to the features the provider offers | Shaped around your workflow |
| Integration | Limited to ready-made integrations | Can connect to your CRM, accounting, ERP or own systems |
| Data ownership | Data sits on the provider's infrastructure; export terms vary | Data and source code are yours, as set out in the contract |
| Brand experience | The provider's interface and logo are usually visible | Entirely your own design |

Online booking system cost in 2026
Prices vary widely by provider, exchange rate movements and scope, so we can only give a rough direction. The figures below are our observations from the Turkish market:
- Off-the-shelf SaaS packages: Basic single-user plans can start from around a few hundred TL a month; plans for multiple staff, multiple branches and advanced features can reach a few thousand TL a month.
- Customising a ready-made system or integrating it into your website: A one-off cost ranging from a few thousand TL to tens of thousands of TL, depending on scope.
- Custom booking software: A simple module can start from tens of thousands of TL; larger multi-branch projects with payment and CRM integration can reach hundreds of thousands of TL.
When comparing options, look at the total cost over three years rather than the price of a single month. For a beauty salon with five staff, for example, the subscription and SMS costs added up over three years may bring it closer to custom software than you would expect. Or the opposite: the off-the-shelf package may come out clearly ahead. You need to run the numbers with your own figures. We explain how the custom side is priced in our article on custom software development cost.
Integrating with your website and Google Business Profile
A booking system is only as valuable as it is easy for customers to find. There are three common ways to add a booking system to your website:
- Button and link: A "Book Now" button sends visitors to the provider's booking page. This is the easiest method, but the customer leaves your site.
- Embedded window (widget/iframe): The booking screen opens inside your site. Always test it on mobile; nested scrolling windows on a narrow screen frustrate users.
- Native integration: The booking flow is designed as part of your site and talks to the system through an API. This is the best option for brand experience and tracking.
On the Google Business Profile side, some booking providers integrate with Google, which can add a booking button directly to your profile. If there is no integration, you can add your booking page URL to the "appointment link" field in your profile. Letting a customer who finds you on Maps book without calling makes a real difference, especially in the evening. For more on getting the most from your profile, see our Google Business Profile guide.
Data protection and security
A booking system processes personal data such as names, phone numbers and email addresses. In areas like clinics or therapy, it may also touch special category data such as health information. Data protection rules differ by country (for example GDPR in the EU and UK, KVKK in Türkiye), but these points apply almost everywhere:
- Link to your privacy notice on the booking form, and use a separate consent checkbox where explicit consent is required.
- Only ask for the information you genuinely need. Free-text fields such as "Describe your complaint in detail" can lead you to collect sensitive data you do not need.
- If you use an off-the-shelf system, ask which country your data is stored in and what commitments the provider makes as a data processor. Transferring data abroad is subject to separate rules.
- Give each person their own dashboard login, and close accounts immediately when staff leave.
- Keep reminder messages separate from promotional messages. Commercial messages with marketing content may require consent and, in Türkiye, registration with the İYS (Message Management System).
As regulations change from time to time, we recommend confirming your current obligations with the data protection authority in your country (in Türkiye, the Personal Data Protection Authority) and with a legal adviser.
Buyer's checklist
When watching a demo or requesting a quote for online appointment scheduling software, ask these questions:
- Can it plan several resources at once, such as staff, rooms and equipment? (For example, both the specialist and the laser device must be free.)
- Can service durations, breaks and preparation times be defined separately?
- Does it offer SMS and WhatsApp reminders, and how are message fees calculated?
- Can it take deposits or full prepayments, and which payment providers does it work with?
- Can it be embedded in your website, and how does it look on mobile?
- Does it integrate with Google Business Profile?
- Can you export your full customer data to Excel or CSV whenever you want?
- How does adding a branch or more staff affect the price?
- Is support available in your language, and who do you contact when something goes wrong?
- Reporting: can you get reports on occupancy, cancellations, no-shows and revenue per staff member?
- Can it connect to your accounting, CRM or existing software?
If most answers are "yes" and the price fits your budget, starting with an off-the-shelf package makes sense. If you are getting "no" or "maybe, for an extra fee" on several critical points, the next section is for you.
When do you need custom software?
Not every business needs custom software. But if one or more of the following applies to you, it is worth serious consideration:
- Multiple branches and central management: If you need to move staff between branches, report centrally and set permissions per branch, the limits of off-the-shelf packages show up quickly.
- Complex resource logic: Rules such as checking lift, mechanic and spare parts stock together in a car service centre, or validating pitch, coach and membership entitlement at the same time in a sports facility.
- Deep integration with existing systems: If you want bookings to flow automatically into your CRM, quoting system or accounting. Thinking about what a CRM does helps clarify where your booking data should go.
- Data ownership and independence: If you do not want your customer database to depend on a provider's pricing policy or the risk of it shutting down.
- Scale and cost balance: If, as staff or branches grow, the subscription starts to cost more than one-off development plus maintenance.
- Brand experience: If you want the booking flow to be fully integrated with your site and in your own design language.
A practical approach: start with an off-the-shelf package and note where you struggle over a few months. If you later move to custom software, those notes become your most valuable requirements list.
The same logic applies to hotels: in the guest's eyes, a spa appointment and a room booking are one experience. OSPITA AI, which we built at Fietto Creative, talks to guests on hotel websites and guides them straight to a direct booking, and the same approach works well in booking flows built around a specific business. If you would like to discuss how a booking setup could fit your own workflow, take a look at our custom software service.
Whichever route you choose, the first step is the same: map out your booking process on paper and pinpoint where you are losing time and customers. The right system is the one that closes those gaps, not the one with the most features.
Frequently asked questions
Can I use an online booking system for free?
Some off-the-shelf platforms offer free plans for a single user with limited features. Features such as SMS reminders, multiple staff calendars and prepayment are usually only available on paid plans.
Can I add a booking system to a WordPress website?
Yes. You can install it directly with a plugin, or connect a ready-made platform's booking page to your site through an iframe or a button. Always test theme compatibility and the mobile view after setup.
Do I need customer consent to send appointment reminder SMS messages?
Service messages about an appointment and promotional marketing messages are usually governed by different rules. Promotional messages generally require consent. The rules differ by country; in Türkiye, for example, commercial messages are tied to the İYS registry, so check the current regulations where you operate.
How long does it take to set up an online booking system?
With an off-the-shelf package, a basic setup can be done within a few days. Custom booking software built around your business can take anywhere from a few weeks to a few months, depending on scope.
