Order Management Software 2026: Off-the-Shelf or Custom? Prices and Guide
Outgrown Excel? We compare off-the-shelf order management software with custom-built systems on price, flexibility and integrations, using a furniture manufacturer example.
Off-the-shelf or custom?
2026
Order management software (often called order tracking software) gives you a single place to see every step of an order, from the moment it comes in until it is delivered and invoiced. It pulls orders arriving by phone, WhatsApp, email, marketplaces and dealers into one list and makes it clear who needs to do what, and when. Many small and mid-sized businesses start out with Excel, and for a while it works perfectly well.
The trouble starts as the business grows. Three versions of the same file are in circulation, a customer calls asking where their order is and you have to ring production to find out, and orders nobody invoiced only surface at month end. In this article we cover when to move on from Excel, how off-the-shelf packages compare with custom software, indicative 2026 price ranges from the Turkish market and, for businesses registered in Türkiye, KOSGEB funding, all with concrete examples.
Our aim is not to sell you a product. It is to help you ask the right questions so you can make the right call for your own business.
What is order management software and what does it do?
At its core, an order tracking system answers three questions instantly: Which orders do we have? What stage is each one at? Who is responsible for the next step? A more advanced order management system adds stock reservation, production planning, shipping, delivery notes and invoicing on top of that.
In practice it looks like this: your sales rep enters the order, the system checks stock, a task lands with the production or warehouse team, shipping is notified once the product is ready, the delivery note and invoice are generated, and the customer receives an automatic update. At no point in that chain does anyone get the chance to say "nobody told me".
When is Excel order tracking no longer enough?
Excel is not a bad tool; it simply was not designed for teamwork and process automation. If three or more of the signs below sound familiar, it is time to switch:
- Several people update the same file and there are arguments about which version is correct.
- You have to call production, the warehouse or shipping to find out an order's status.
- Orders that were never invoiced, or invoiced late, turn up at the end of the period.
- You copy marketplace and website orders into a spreadsheet by hand.
- Dealers keep phoning to ask about order status.
- When an employee goes on leave, nobody knows which orders they were tracking.
- Pulling a report on past orders takes hours.
10 features your order management software should have
Whether you buy an off-the-shelf package or commission custom software, you can use the list below as a checklist. Not every business needs all of them at once, but knowing up front which ones are critical for you stops you spending money on the wrong product.
- Order status tracking: Clear stages such as received, confirmed, in preparation, shipped and delivered, with the ability to adjust those stages to fit your business.
- Production stage tracking: If you manufacture, seeing which station an order is at, such as cutting, assembly, painting or packing. We cover this in detail in our production tracking software guide.
- Customer and dealer notifications: Automatic updates by SMS, email or WhatsApp whenever the status changes.
- Automatic delivery notes and e-invoices: A shipped order turning into an electronic delivery note and e-invoice in one click, without anyone re-entering the data. In Türkiye this means e-irsaliye, e-fatura and e-arşiv documents; requirements differ by country.
- Marketplace and e-commerce integration: Orders from marketplaces (in Türkiye, the big ones are Trendyol and Hepsiburada) and from your own website flowing into the system automatically. Our marketplace integration article explains what to watch out for.
- Stock reservation: Products linked to an order are set aside in stock, so the same item is never sold to two customers.
- User permissions: Role-based access, so sales sees prices, production sees customer details and each dealer sees only their own orders.
- Payment and collections tracking: Deposits, outstanding balances and payment terms visible alongside the order.
- Reporting: Reports on late orders, sales by product, dealer performance and delivery times in a few clicks.
- Mobile access: Field staff, delivery drivers and dealers able to work from their phones.
Off-the-shelf or custom order management software?
In Türkiye, packages such as Mikro, BizimHesap, KolayBi, Paraşüt and Logo cover order, stock and basic accounting needs out of the box. Some of these are accounting-first tools where the order module is part of the invoicing process, while broader ERP solutions such as Mikro and Logo also extend into production and warehouse operations. Outside Türkiye you will find equivalent local and international tools. Custom software, by contrast, is built around your own workflow, either from scratch or on a modular foundation.
| Criterion | Off-the-shelf package | Custom software |
|---|---|---|
| Upfront cost | Low, usually a monthly or annual subscription | High, a project-based development fee |
| Time to go live | Usable within days | Weeks or months, depending on scope |
| Flexibility | Limited to the workflow the product offers | Workflow designed around your business |
| Integration | Ready-made integrations exist; anything else is hard | Custom connections to the systems you need |
| Cost as users grow | Usually rises per user | Mostly fixed, with maintenance and hosting costs |
| Ownership | Rented; data export depends on the product | Depending on the contract, source code and data can be yours |
| Best suited to | Standard products, few channels, small team | Made-to-measure production, dealer network, multichannel sales |
A simple rule: if fitting into an off-the-shelf package's workflow means changing how you work, and that change hurts your customers or your production, take a custom solution seriously. If adapting just means changing a few habits, an off-the-shelf package makes sense. Our article on custom software vs off-the-shelf weighs the two options in more depth.
A hybrid model is also an option
You do not have to have everything built from scratch. Many businesses keep accounting and e-invoicing in their existing off-the-shelf software, build the order, production and dealer side as custom software, and connect the two through an integration. That way your accountant's familiar setup stays intact, and you run operations by your own rules.
Order management software pricing in 2026
Prices vary widely depending on the number of users, modules, integrations and level of support. The ranges below are observations from the Turkish market and are only meant to give you a general idea.
| Option | Indicative range (Turkish market) | What drives the price? |
|---|---|---|
| Accounting-first off-the-shelf package | From a few hundred TL to a few thousand TL per month | Number of users, e-document credits, add-on modules |
| Full ERP package | Tens of thousands of TL per year and up, with setup and training charged separately | Number of modules, licence type, reseller installation services |
| Custom order tracking software (basic) | Starts at around tens of thousands of TL | Number of screens, user roles, notifications |
| Custom software (production, dealer portal, integrations) | Can reach hundreds of thousands of TL | Marketplace, accounting and e-invoice integrations, mobile app |
Commonly overlooked costs with off-the-shelf packages include subscriptions that rise as you add users, e-document credit fees, integration add-ons and annual price increases. With custom software, factor in maintenance, hosting and the cost of modules you will add later. We break down how custom development costs add up, line by line, in our custom software development cost article.
Example: a made-to-measure order flow for an İnegöl furniture manufacturer
Furniture is one of the sectors where off-the-shelf packages struggle most. An order is rarely a stock item; it is usually a variation: the same sofa set is ordered with different fabrics, colours, leg types and dimensions. Let's take a mid-sized manufacturer in İnegöl, Türkiye's best-known furniture hub, that sells through dealers, and look at how furniture order management software could handle this flow.
- The dealer places the order: Through their own portal, the dealer picks the model and enters the fabric code, colour and dimensions. The system checks that the combination can be produced and shows the dealer-specific price.
- Approval and deposit: The sales team approves the order and the deposit is recorded against it.
- Materials check: If the chosen fabric is out of stock, a task is automatically sent to purchasing and the order's due date is updated accordingly.
- Production stages: Staff at the frame, upholstery, sewing and packing stations mark their step as complete on a tablet or phone. The manager sees on one screen which order is waiting at which station.
- Dealer notifications: The dealer is notified at every stage change, so they can give their own customer a delivery date with confidence.
- Shipping and documents: The packed product is added to the shipping list, vehicle planning is done, and the electronic delivery note and invoice are generated automatically.
- Delivery and after-sales service: Any service requests after delivery are linked to the same order record, so the full history lives in one place.
The dealer side is where this flow adds the most value. When dealers check their own orders in the portal instead of phoning, both your sales team and the dealer save time. For a closer look at this setup, see our B2B dealer portal guide. Furniture manufacturers in İnegöl and Bursa are among the clients we at Fietto Creative work with most, so we come across these variation-heavy order flows often.
The real challenge of order tracking in furniture is not tracking the product. It is carrying each order's unique combination from production to shipping without losing it along the way.
KOSGEB funding for order tracking software (Türkiye)
This section applies to businesses registered in Türkiye. KOSGEB, the Turkish government agency for small and medium-sized enterprises, periodically funds SMEs' digitalisation and software investments through various programmes. In particular, there have been periods when software and digital transformation costs could be supported under certain conditions through the Business Development Support Programme. Scope, funding rates, upper limits and application windows vary by year and by call. If you are based elsewhere, check what grants or SME support schemes exist in your own country, as these differ widely.
- First, make sure your business is registered in the KOSGEB database and your SME declaration is up to date.
- Follow open calls and their conditions through official sources.
- Ask your software provider in advance whether their quote meets the format required for the funding application.
- Remember that spending money before a funding decision is made may mean the expense is not covered.
For a broader view, our KOSGEB Business Development Support Programme article summarises the application steps.
6 questions for choosing the right order management software
Before you sit through any demos, agree on the answers to these questions with your team:
- Which channels do your orders come from, and how many of them need to be imported automatically?
- Are your products standard, or is every order a variation?
- Should dealers or customers be able to check order status themselves?
- Do you want to replace your current accounting software, or does the new system need to integrate with it?
- How many people will use the system, and what will that number be in three years?
- Who will own your data and the system's source code?
If most of your answers point to standard products, few channels and a small team, start with an off-the-shelf package and reassess as you grow. If your answers point to made-to-order production, a dealer network and multichannel sales, it is wiser to map out your workflow on paper first and then explore custom business software. If you would like to map that workflow together with the Fietto Creative team, all you need is your requirements list; in the first meeting we will tell you plainly whether an off-the-shelf package or a custom solution suits you better.
Frequently asked questions
Is there free order management software?
Some off-the-shelf packages offer limited trials or free plans for a small number of users. However, the features a business actually needs, such as e-invoicing, integrations and multiple users, are usually only available on paid plans.
Is order tracking software the same as inventory management software?
No, but the two are closely linked. Inventory software tracks how much stock you have in the warehouse, while order tracking software manages the whole journey of an order, from the moment it is received until it is delivered and invoiced.
Can I use order management software on my phone?
Most cloud-based, online order management systems work in a mobile browser or through a dedicated app. Before you buy, test the exact screens your field team and dealers will use on an actual phone.
How long does it take to build custom order tracking software?
It depends on scope. Basic order and status tracking can go live within a few weeks, while systems that include production tracking, a dealer portal and marketplace integrations can take several months. Working in phases lets you start using the first module early.
