E-Invoice Integration in Turkey 2026: Connecting Your Store and Software 2026 transition guide e-Invoice
Short answer: E-invoice integration means that as soon as an order is placed, the invoice is issued through a GİB-authorised private integrator and delivered to the buyer and the tax system without anyone touching it. If your ecommerce platform has a ready-made plugin, it can be set up in a few days; for custom software, a CRM or a dealer portal you need to build a connection to the integrator's API.

If you sell in Türkiye, the scope of mandatory e-invoicing widens in 2026, and many small and mid-sized businesses are asking for the first time: where will we actually issue our invoices from? The real issue is not registering. It is that a business taking dozens of orders a day cannot keep logging into a portal and typing each invoice by hand. That is where e-invoice integration comes in: when an order lands on your website, a marketplace or your dealer portal, the invoice is created automatically.

In this article we first summarise the 1 July 2026 transition in Türkiye. Then we get to the main topic: how to connect invoicing to your online store, marketplace orders, CRM or dealer portal, which model suits you, and what to watch out for.

A note on regulation: the dates and amounts below are based on published Turkish rules, but the Turkish Revenue Administration (GİB) amends them from time to time, and e-invoicing rules differ by country. Before making decisions, confirm the current position with your accountant and official sources.

Turkey's 2026 e-invoicing mandate: a quick summary

Under the current rules, taxpayers in Türkiye whose gross sales revenue for the 2025 accounting period is 3 million TL or more are expected to move to e-Fatura (the Turkish e-invoice system) from 1 July 2026. The threshold is lower for businesses selling goods or services online: those with gross sales revenue of 500,000 TL or more also come into scope on the same date. These TL thresholds are Turkish-market figures as published.

In practice, this means that even a small online shop selling through its own website or a marketplace store is quite likely to cross the threshold. Businesses that cross it in later years are usually given until a set date in the following year to switch.

Note: For thresholds, dates and scope details, the Turkish Revenue Administration e-Document portal is the authoritative source. This article is for information only and is not legal or financial advice.

e-Fatura vs e-Arşiv invoices: what's the difference and who must comply?

The two are often confused, but the distinction is simple: look at who you are invoicing.

  • e-Fatura (e-invoice): Used when the buyer is also registered for e-Fatura. The invoice travels through the GİB system straight into the buyer's e-invoice inbox. Typical example: an invoice to your dealer or a corporate customer.
  • e-Arşiv (e-archive invoice): Used when the buyer is not registered for e-Fatura, especially individual consumers. The invoice is created electronically, sent to the customer by email or SMS, and reported to GİB.

Because most customers on an online store are individuals, you will mostly issue e-Arşiv invoices. But the same site may also have customers buying on behalf of a company. A well-built e-Arşiv invoice integration checks the buyer's tax number, works out on its own whether they are registered for e-Fatura, and picks the right document type. Doing this check by hand is the easiest way to make mistakes.

Businesses registered for e-Fatura are also required to use e-Arşiv. So if you come into scope in 2026, plan both sides together. For the other legal obligations of online stores in Türkiye, see our article on ecommerce website legal requirements.

4 connection models for e-invoice integration

There are four basic ways to connect invoicing to your systems. Which one fits depends on your order volume and the software you use.

1. GİB e-Arşiv Portal (free, manual)

You issue invoices one by one on the Revenue Administration's portal. There is no cost, but there is no automation either. It can be enough for a business issuing a handful of invoices a month; it is not practical for an online store taking orders every day.

2. Private integrator API

Your software creates and sends invoices directly through APIs offered by GİB-authorised private integrators. E-invoice API integration is the most flexible method; almost all custom software, CRM and dealer portal connections are built this way.

3. Ready-made platform plugin

Platforms used in Türkiye such as ikas, Ticimax, IdeaSoft and WooCommerce have ready-made modules that work with specific integrators. You enter the API key, adjust a few settings and you are up and running.

4. Custom development

If you have rules a ready-made plugin cannot handle (dealer-specific discounts, partial shipments, dispatch from different warehouses, foreign-currency invoices and so on), a custom layer is built on top of the integrator's API.

Choosing a private integrator: what to look for

The integrator is the technical carrier of your invoices. A poor choice is a problem you may only notice months later, and one that is tedious to fix. When choosing an e-invoice integrator, ask these questions:

  1. Does it have a ready-made integration with your platform? Integrators listed in your platform's app store shorten setup considerably.
  2. Is the API documentation public and up to date? If you are connecting custom software, ask whether a test environment (sandbox) is available.
  3. How does the credit model work? Per document or an annual package? Do unused credits roll over to the next year?
  4. Which documents are covered? Alongside e-Fatura and e-Arşiv, you may later need e-İrsaliye (e-dispatch note), e-Müstahsil (e-producer receipt) or e-SMM (e-receipt for self-employed professionals). Keeping them all in one place makes things easier.
  5. How reachable is support? When an invoice fails to send, being able to get a person on the phone matters.
  6. Archiving and exit terms: If you want to leave, can you export your past invoices in bulk?

About credit costs

Integrators generally price on a credit basis (a credit per document) or as an annual package. In some cases a single invoice can use more than one credit, so clarify this in the contract. As a rough Turkish-market observation, annual packages for low-volume businesses can start at a few thousand TL, and the cost per document falls at higher volumes. This is only a rough indication, not a fixed price; it varies considerably by integrator, package and promotion. When requesting quotes, ask separately about setup fees, the annual licence and add-on modules.

Tip: Do not size your credit package on last year's order count alone; factor in return and cancellation invoices too. Invoice numbers spike during sales campaigns, so set up a low-credit alert in the panel.

Setup steps by platform: ikas, Ticimax, WooCommerce

On ready-made platforms, ecommerce e-invoice integration follows a similar flow. Menu names differ, but the logic is the same.

On SaaS platforms such as ikas and Ticimax

  1. List the supported integrators in the platform's app or integrations store.
  2. Sign a contract with your chosen integrator and complete your e-Fatura and e-Arşiv application.
  3. Enter the user credentials or API key from the integrator into the panel.
  4. Set the invoice series prefix, template, logo and bank details.
  5. Decide when the invoice is issued: on order confirmation or when the parcel is handed to the courier?
  6. Check that VAT rates are set correctly for each product.
  7. Place test orders and try one individual and one corporate invoice.

On WooCommerce

Because WooCommerce is open source, there are many options and wide differences in quality. Choose the integrator's official plugin; little-known third-party plugins carry a higher risk of breaking after updates. For corporate customers, add tax number and tax office fields to the checkout page; without them, the e-Fatura registration check cannot run. Testing plugin updates in a staging environment first stops invoicing from grinding to a halt on your live site.

Marketplace orders

Invoicing orders from Turkish marketplaces such as Trendyol and Hepsiburada is also your responsibility. If you have a setup that pulls orders into a single panel, the cleanest approach is to issue the invoice there and upload it back to the marketplace. We cover this in detail in our article on marketplace integration.

E-invoice API integration for custom software, CRM and dealer portals

If your sales happen not on a website but in a quoting system, a CRM or a dealer portal, a ready-made plugin will not help. You need a module that talks directly to the integrator's API. A typical flow looks like this:

  1. Define the trigger: Is the invoice issued when a quote is approved, or when the order ships?
  2. Map the data: Customer account, tax number, product code, unit, VAT rate and discounts are converted into the format the integrator expects (UBL-TR, the Turkish UBL standard).
  3. Registration check: The system checks whether the buyer is registered for e-Fatura and selects the document type automatically.
  4. Sending and status tracking: The invoice is sent, and the status returned by the integrator (successful, error, rejected by buyer) is written back to the system.
  5. Error queue: Invoices that fail to send are collected in a list and the responsible person is notified.

Common requirements in dealer portals are partial shipments, dealer-specific price lists and consolidated end-of-period invoices. These are rules that ready-made plugins usually do not cover. If you are curious about the portal side, our B2B dealer portal article is a good starting point. If you already keep customer and quote data in a CRM, triggering invoices from there saves you entering the same information twice; for the basics, see what is a CRM.

The measure of a good integration is not that invoices get issued; it is who notices, and when, if one fails.

Common mistakes and penalties

Once an integration is live, problems tend to come from the same places:

  • Wrong document type: Issuing an e-Arşiv invoice to an e-Fatura-registered buyer, or the reverse. If the registration check is not automated, this mistake is inevitable.
  • VAT rate errors: An old rate left on a product record, or shipping charged at the wrong rate.
  • Invoice timing: Not issuing the invoice within the legal deadline. Invoices left on hold when a shipment is delayed create this risk.
  • Forgotten returns: Not setting up return invoices or a cancellation flow causes inconsistencies in the accounts.
  • Number clashes: Issuing invoices with the same series through both the portal and the integration.
  • No credit monitoring: Credits running out on a campaign day, leaving orders uninvoiced.

On penalties, failing to comply with the obligation to issue e-documents in Türkiye can lead to a special irregularity fine under the Tax Procedure Law. Because the amounts are revalued every year, we are not quoting figures here; check the current amounts with your accountant or GİB's latest announcements. The key point: issuing a paper invoice when you are required to use e-invoicing may result in the document being treated as if it had never been issued.

Note: Do not leave your application and testing to the last few weeks before the deadline. Integrator applications can take time to be approved; starting early is the cheapest safeguard.

E-invoice integration cost and timeline

The cost has two parts: the credit or licence fee paid to the integrator, and the work of building the connection.

ScenarioEstimated timeSetup cost (indicative)
Official plugin on a ready-made platformA few days after application approvalOften free or low
WooCommerce plugin plus checkout changesA few days to a weekLow to medium
API connection to custom software or a CRMA few weeksMedium
Dealer portal, multiple channels and custom business rulesA few weeks to a few monthsMedium to high

This table is only a rough guide, not a fixed price. What really determines the cost is how many sales channels you have, your returns and partial-shipment rules, whether you need foreign-currency invoices, and how tidy the data structure of your existing software is. If VAT and unit details on your product records are inconsistent, the data needs cleaning before integration, and that adds to the timeline.

At Fietto Creative, in ecommerce and dealer portal projects we usually treat the invoicing connection as part of the project from day one; bolting it on later can mean rethinking the whole order flow. If you are building or rebuilding your site, include invoicing in your ecommerce website planning. If you need a connection to your existing quoting, order or dealer system, we can define the requirements together through our custom business software service.

Quick transition checklist

  • Check your 2025 gross sales revenue with your accountant and confirm whether you are in scope.
  • List the systems you will invoice from: website, marketplaces, CRM, dealer portal.
  • Get quotes from at least two integrators compatible with your platform.
  • Add tax number and tax office fields to your checkout page.
  • Review VAT rates and units on your product records.
  • Test individual, corporate, return and cancellation scenarios.
  • Decide who will monitor error notifications and credit alerts.

If you complete these steps before the deadline, 1 July 2026 will be just another day in the calendar. If you are not sure which model suits you, get in touch with us and we will look at your current setup and work out the simplest route together.

Frequently asked questions

Do I need accounting software for e-invoice integration?

No. You can issue invoices directly from your online store or custom software through the integrator's API. That said, passing the data into your accounting software as well makes life easier for your accountant, who needs the records.

Once I switch to e-Fatura, do I also need to set up e-Arşiv invoicing?

Yes, the two are usually used together. Invoices for buyers who are not registered for e-Fatura, especially individual consumers, are issued as e-Arşiv invoices. That is why most integrators offer both services in the same package.

What happens if I run out of invoice credits?

When your credits run out, the integrator stops sending new invoices and your orders pile up without invoices. Setting a low-balance alert in the panel and switching on automatic top-up reduces this risk.

What happens to my old invoices if I change integrator?

Your obligation to retain past invoices continues. Before switching, export your archive from the current integrator and plan your invoice series and numbering so they do not clash on the new platform.

How long does e-invoice integration take?

On a platform with a ready-made plugin, setup usually takes a few days once your application is approved. Connecting custom software or a dealer portal via API can take several weeks, depending on your business rules.
