Google Workspace vs Microsoft 365: Business Email Pricing and Setup 2026
Short answer: In the Google Workspace vs Microsoft 365 decision, Microsoft 365 usually suits teams that live in Excel, Word and Teams, while Google Workspace is often the more comfortable business email choice for teams that work in the browser and share files constantly. For very small businesses on a tight budget, the email included with your hosting can do the job at first. Whichever provider you choose, do not expect your emails to reach the inbox reliably until SPF, DKIM and DMARC are configured.

A business email address is one that ends in your company's domain name: info@yourcompany.com, sales@yourcompany.com and so on. It appears on your business cards, quotes, invoices and website, and it is often a customer's first serious contact with you. Even so, many small businesses still send quotes from companyname@gmail.com, or use the mailbox their hosting company provided without ever checking its settings.

In this article we start with why a domain-based address matters, then compare Google Workspace, Microsoft 365, Yandex 360 and hosting/cPanel email on price, storage, security, AI features and support. After that we walk through setting up company email, the settings that keep your messages out of spam, and how to handle an account when an employee leaves.

The goal is not to sell you a brand, but to help you find the option that fits the way your own team works.

What is business email, and why isn't info@gmail enough?

Gmail and Hotmail addresses are designed for personal use. When they are used for business, a few concrete problems appear:

  • Trust: When a buyer receives a 50,000 TL quote from companyname1983@gmail.com, they inevitably think twice. A domain-based address shows there is a real company behind it.
  • Ownership: A personal account belongs to whoever created it. When an employee leaves, customer correspondence, passwords and the platforms they signed up for can leave with them. With a business account, you are the administrator.
  • Spoofing: With your own domain, you can use SPF, DKIM and DMARC to say "only my servers may send email from this address". With a free address, that control is not in your hands.
  • Organisation: You can create role addresses such as sales@, accounts@ and support@ and route them to the right people. The person may change, but the address stays the same.

Business email is a natural part of any corporate website checklist; when your site and email share the same domain, brand consistency follows on its own.

Business email options: four main routes

Google Workspace

The Gmail interface, Google Drive, Meet, Calendar and Docs come in a single package. Because most people already use Gmail personally, the learning curve is short. Files are edited together in the browser and shared via links. Google has recently started including Gemini AI features in its business plans, which can help with drafting emails, summarising long threads and generating content in documents. Since the features included in each plan change often, we recommend checking the current plan page before you buy.

Microsoft 365

Outlook, Exchange infrastructure, Teams, OneDrive and (depending on the plan) the desktop Office apps come together. It is the natural choice for companies whose accounting runs in Excel, who prepare quotes from Word templates and who meet dealers over Teams. On the AI side, Microsoft 365 business email plans include Copilot Chat, while the full Copilot built into Word, Excel and Outlook is mostly sold as a separate paid add-on.

Yandex 360 for Business

Known as a more affordable alternative, it includes email, cloud storage and a calendar. It has users in Türkiye, but its integration ecosystem and third-party app support are not as broad as Google's or Microsoft's. Regional availability and pricing change from time to time, so check the current situation before making a long-term decision.

Hosting / cPanel email

This is the email service bundled with the hosting package your website runs on. Its biggest advantage is that there is no extra charge. The downsides: mailbox capacity can be small, spam filtering can be weak, and because the server IP is shared with other sites, someone else sending spam from that IP can affect your deliverability too. Features such as mobile sync and calendar sharing are often limited as well.

Business email pricing in 2026 and sample costs

Google Workspace and Microsoft 365 plans are billed per user per month. Prices are announced in US dollars; if you buy in Türkiye, the TL amount varies with VAT, annual commitment and the purchase channel (direct or via a reseller), and the same kind of variation applies in other countries. The figures below are broad indicative ranges observed in the Turkish market to help with budgeting, not exact prices. Always confirm the current amount on the provider's official page or with an authorised reseller.

When budgeting, also keep these in mind:

  • Not everyone needs the same plan. Field staff who only read email can have an entry plan, while people preparing quotes and designs get a higher tier (check the provider's rules on mixing licences).
  • Don't buy licences for role addresses. Setting up info@ or sales@ as an alias or a group/shared mailbox instead of an extra user is often free.
  • AI add-ons can push licence costs up significantly. Trial them with a few users first.
  • Your domain is a separate annual cost. If you don't have a website yet, our website cost guide also covers domain and hosting line items.

How to set up a business email, step by step

  1. Get clear on your domain. Find out which company your domain is registered with and where its DNS is managed. Most problems happen because nobody knows who actually logs into the DNS panel.
  2. Choose a provider and create the account. When signing up for Workspace or Microsoft 365, you enter your domain and are asked to add a verification TXT record.
  3. Verify the domain. Add the TXT record you were given to your DNS panel. This proves the domain belongs to you.
  4. Create users and role addresses. Set a standard format such as firstname.lastname@ and define addresses like info@ and sales@ as aliases or groups.
  5. Change the MX records. MX records decide where incoming mail goes. Delete the old MX records and add the ones your provider gives you. Leaving a mix of old and new records causes some emails to go missing.
  6. Set up SPF, DKIM and DMARC (covered in the next section).
  7. Connect devices. Use the official apps (Gmail, Outlook) on phones and computers, and make two-step verification mandatory for everyone.
Note: If your website runs on the same domain, do not touch the A and CNAME records in DNS. Work only with MX and TXT records; otherwise your email may work while your website goes offline.

SPF, DKIM and DMARC setup

Gmail and Yahoo have made SPF, DKIM and DMARC mandatory for bulk senders (those sending around 5,000 or more emails a day), and Microsoft has announced similar rules for Outlook.com. Even if a small business sending low volumes stays below that threshold, the chances of reaching the inbox drop without these records. You can follow the current rules on Google's sender guidelines page.

SPF: who is allowed to send?

SPF lists the servers authorised to send email on behalf of your domain. Examples:

  • Google Workspace: v=spf1 include:_spf.google.com ~all
  • Microsoft 365: v=spf1 include:spf.protection.outlook.com -all

Your domain should have only one SPF record. If your website contact form, newsletter tool or invoicing software also sends email in your name, add them to that same record. Remember that SPF has a limit of 10 DNS lookups.

DKIM: was the email changed in transit?

DKIM adds a digital signature to every outgoing email. You generate a DKIM key in the Workspace admin console or the Microsoft Defender portal, add the TXT or CNAME records you are given to DNS, and enable signing. This step is often forgotten, so always check it after setup.

DMARC: what should happen to spoofed email?

DMARC tells the receiving server what to do with emails that fail SPF and DKIM. Start in monitoring mode:

_dmarc.yourcompany.com TXT "v=DMARC1; p=none; rua=mailto:dmarc@yourcompany.com"

Watch the reports for a few weeks, and once you are sure all your legitimate sending sources are authenticated, you can raise the policy to quarantine and then reject.

Business email going to spam: a checklist

When someone complains that your business emails are landing in spam, check these in order:

  • Is there an SPF record, and only one? Are your form and newsletter tools included?
  • Is DKIM signing actually switched on?
  • Is a DMARC record published?
  • Are the sender address and reply address on the same domain? Using the customer's Gmail address as the "from" address in website forms is a classic mistake.
  • With hosting email, is the server IP on a blacklist? Check with a free blacklist lookup tool.
  • Content: image-only emails, shortened links, subject lines like "FREE!!!" and large attachments all trigger filters.
  • Do bulk campaigns include an unsubscribe link? Send campaign emails through a separate newsletter tool, ideally from a subdomain, not from your everyday work address.
  • Don't send hundreds of emails at once from a newly created account; increase your sending volume gradually.

Email problems are often linked to form settings on your website. To check your site's technical health and form submissions, you can use the free Site X-Ray analysis.

Migrating old email and managing accounts when employees leave

Migration

When moving from hosting email to Workspace or Microsoft 365, you don't have to leave old correspondence behind. Both platforms have an IMAP-based data migration tool in the admin console. A practical sequence:

  1. Create the new accounts, but don't change the MX records yet.
  2. Run the first migration of old emails.
  3. Change the MX records.
  4. Run a second migration to pick up the last emails that reached the old server during the switch.
  5. Keep the old account open for a few weeks.

Contacts and calendars are usually exported and imported separately. With large archives, migration can take several days, so don't schedule it during month-end closing.

When an employee leaves

  • Reset the password on the same day and revoke open sessions and mobile device access.
  • Forward incoming mail to a manager or successor, and set an auto-reply if needed.
  • Transfer ownership of Drive/OneDrive files to another user.
  • Archive the account, or convert it to a shared mailbox to free up the licence.
  • Review the ad accounts, marketplace dashboards and supplier portals the employee signed up to with that address.

Retaining personal data and reviewing employee correspondence fall under data protection and employment law, and these rules differ by country (in Türkiye this means KVKK; in the EU and UK, GDPR and local employment rules). For retention periods and access rights, we recommend confirming with your own legal adviser and official sources.

Which business email suits which company?

  • 1-3 people with low email traffic: Hosting email may be enough to start with, as long as SPF/DKIM/DMARC are set up.
  • Manufacturing, furniture and finance-heavy companies working intensively with Office files: Microsoft 365.
  • Teams working in the field, on phones and in the browser, sharing files constantly: Google Workspace.
  • Businesses on a very tight budget that need more than hosting email: Yandex 360 is worth considering, after checking availability and support terms.

The right business email is not the cheapest or the most feature-packed one; it is the one your team can start using tomorrow morning without any training.

At Fietto Creative, we treat domain, DNS and email setup as part of every corporate website project, because a quote request from your website landing in spam can cost you more than having no website at all. Frequently asked questions

Can I set up a business email address for free?

If the hosting package for your domain includes email, you can create domain-based addresses at no extra cost. You will still pay the yearly domain fee, and free options usually come with limited storage, support and deliverability.

Can Google Workspace and Microsoft 365 be used together on the same domain?

It is technically possible, but it needs a complex setup and is not recommended for small businesses. Routing incoming mail to a single provider and keeping the whole team on one platform makes administration much easier.

How long does an MX record change take to go live?

In most cases it propagates within a few minutes to a few hours, and occasionally it can take up to 24 to 48 hours. Some emails may still reach the old server during this window, so it makes sense to switch at a quiet time.

Is it a problem to send email without a DMARC record?

For businesses sending low volumes, emails may still be delivered, but the large providers are increasingly suspicious of domains with incomplete authentication. Even a simple DMARC record in monitoring mode gives you visibility into anyone spoofing your domain.

Should I delete a business email account when an employee leaves?

Rather than deleting it straight away, it is safer to change the password and sign out all sessions first, then archive the mailbox and forward the address to a manager. To avoid paying for an unused licence, a common approach is to convert the account to a shared mailbox or close it after archiving.
